Background

In the beginning of the 2020, people shifted to remote work due to the pandemic. Over two years later, many are returning to the workspace and work practices are changing from remote to hybrid. It is expected that hybrid work will be the new future but problems like inefficient use of workspace and lack of working efficiency emerge.

The goal of this semester-long design exercise is to uncover existing user problems in hybrid working environment and propose a design solution.

Meanwhile, we gained understanding about the user, identified their needs in order to come up with rational and justified solutions to be tested and iterated through user interviews. Once we created a prototype, we quickly gathered feedback to validate or invalidate the design, iterated upon the feedback received, and tested again.

UX Roadmap

We used the Double Diamond design process to create this product from scratch. Even though this model lacks some flexibility, it helped us design something that truly solves the problem we discovered.

Why we wanted to design for the future workspace?

How might we improve the hybrid working environment?

We started with this vague problem statement… See how we narrowed it down :)

User Research

I personally had worked remotely for months during the pandemic but never attended it to hybrid working model and relating problems. To better understand the context and overcome biases we began researching and interviewing participants about their hybrid working experience.

The interviews focus on gathering information about their typical hybrid working week and helping us understand:
1. Experiences with hybrid working
2. Problems faced during hybrid working
3. Preferences (virtual v.s. in-person) and why
4. Key factors considered in deciding to go to the office or stay home
5. Tools and methods used to improve working efficiency

We interviewed 7 people who are or have been working in a hybrid work model for more than 3 months. These interviews helped us categorize competitors, discover key insights and identify critical issues in hybrid working.

How might we help future companies to build a flexible and attractive work space and an efficient scheduling meeting system within a hybrid working environment?

Competitor Analysis

Based on the interviews, we knew that WeWorkOffice Space, and Envoy are the three main competitors in managing hybrid office spaces. In terms of meeting scheduling, Google Calendar is probably the most prevalent option. 

Yet, even though both desk booking and calendar management apps came up with several features to enhance the hybrid working experience, none could solve the proposed solution all at once.

Ideation & Conception

Paper Prototype

Based on the key insights and pain points derived from the user research, we started iterating various features and layouts on paper.

The ideation process was the most challenging part of the design process since it is a relatively new topic and few good solutions were on the market. Paper prototyping helped diversify our thinking capabilities and propose as many ideas as we could. Meanwhile, since this product is for enterprises, we also tried to follow the logic of existing apps and kept the design pragmatic.

Wireframes

The 1st design iteration: Based on suggestions we received from paper prototype critique workshop, we redesigned the homepage and booking interactions and converted those paper interfaces to wireframes.


User Testing

After we completed the wireframes, we knew it was the best time to conduct our first formal user test because wireframes clearly present our key features and UX designs and we were still making dramatic changes to the product. Therefore, we invited four peers to test our prototypes.

We identified two major problems with our initial prototype.

1. The booking process is too long to actually boost users' efficiency.
2.The calendar function causes confusions and has no difference from other calendar products.

Feature 3 - Space Booking

Need more options? MeetSpace lets you filter your meeting rooms based on accommodations you need.

Feature 4 - AI Meeting Scheduler

MeetSpace helps employees sync up their schedules and keep track of their availability.

No fuss in finding a time that works for everyone because the AI always provides you with time slots when most invitees are free.

Feature 5 - Team Calendar

Don’t let hybrid get in the way of working together. Check your co-workers' schedules to plan to work on-site as a team and book an 1-on-1 meeting with them.

Conclusion

MeetSpace is designed to improve collaboration, productivity, and efficiency for businesses in a hybrid work mode post-pandemic. Our app facilitates the booking of desks and spaces for employees who return to the office on certain days of the week, as well as the organization of meetings and events. It also allows companies to manage their workspace and meetings in advance, helping them to reduce office area and save on rent costs.


I really enjoyed creating this app from scratch. In our final product pitch, some of my classmates were excited about our product and suggested that we should develop this app. If this app could go live, I would conduct several rounds of user testing with company stakeholders to see how could our product fit their needs better.
